1. Who We Are

This website is operated by Maithil Systems ("we", "us"), a company registered in India. We are responsible for the personal data described in this policy.

We process personal data in accordance with the Information Technology Act, 2000, the rules made under it, and the Digital Personal Data Protection Act, 2023 as it comes into force.

2. Personal Data We Collect

When you send us an enquiry or book a consultation, we collect the details you provide:

  • your name, company, work email address and phone or WhatsApp number;
  • the product or service you are interested in, your team size, industry, current tools and timeline; and
  • anything you choose to tell us about your workflow or requirements.

When you submit a form, we also record your IP address and browser type, to help prevent spam and abuse.

We do not ask for, and ask you not to send, sensitive personal data such as financial account details, health information or government identity numbers through this website.

3. How We Use It

We use your details only to:

  • respond to your enquiry and arrange a consultation or demonstration;
  • contact you by email, phone or WhatsApp about your enquiry;
  • prepare proposals and, if you become a client, deliver and support our services; and
  • protect our website from spam, fraud and misuse.

We process this data with your consent, which you give by submitting the form, and you may withdraw it at any time (see Section 9). We do not sell your personal data, and we do not use it for unrelated marketing.

4. Data in Client Systems

For our clients, we host and support software that may contain personal data about their own employees, customers and suppliers. In that case the client decides what data is collected and why, and we process it only on the client's instructions, to provide, support and secure their system. Questions about that data should be directed to the client concerned.

5. Who We Share It With

We share personal data only with service providers that help us run our business, and only as far as they need it:

  • cloud hosting providers that store our website and client systems;
  • email and communication services we use to reply to you; and
  • professional advisers, such as accountants and lawyers, where necessary.

These providers are required to keep the data confidential and secure. We may also disclose data where required by law or a lawful request from a government authority.

6. Cookies & Third-Party Resources

This website uses only the cookies it needs to work: a session cookie and a security token that protects our forms. We do not currently use advertising or tracking cookies. If we introduce analytics in the future, we will update this policy first.

Our pages load fonts and icons from Google Fonts. When they load, your browser connects to Google's servers, which receive your IP address. Google's use of that data is governed by Google's own privacy policy.

7. How Long We Keep It

Enquiries that do not lead to a client relationship are deleted automatically 24 months after they are received. You can ask us to delete your enquiry sooner at any time.

If you become a client, we keep the information needed to provide our services for as long as the relationship continues, and afterwards for as long as the law requires, for example for tax and accounting records.

8. How We Protect It

We protect personal data with reasonable security practices, including encrypted (HTTPS) connections, restricted access for our staff, and regular backups. Read more on our security and support page. If a personal data breach occurs, we will notify affected people and the relevant authorities as required by law.

9. Your Rights

You can ask us to:

  • tell you what personal data we hold about you and how it is used;
  • correct or complete data that is inaccurate;
  • delete your data, where we are not required to keep it; and
  • stop contacting you, by withdrawing your consent.

To make a request, email contact@maithilsystems.com. We may need to verify your identity before acting on it.

10. Grievance Officer

If you have a concern or complaint about how we handle personal data, please contact our Grievance Officer:
